Tracking your agreements: spreadsheet or software?
Many centres track their approvals in a shared spreadsheet. It works, until the day an expiry date goes unnoticed. An honest comparison.
In brief
| Criterion | A shared spreadsheet | PneumoTrack |
|---|---|---|
| Approval status | Recalculated by hand or with fragile formulas | Calculated every day from the dates |
| Patients to remind | A filter to redo every time | Dedicated tab, with a counter |
| Reminder record | A column everyone fills in their own way | Time-stamped log per approval |
| New approval dates | Calculated by hand | Calculated according to the agreement, to the day |
| Teamwork | Locked file or duplicate versions | Simultaneous access, one account per person |
| Patient data | A file that gets copied and sent by email | A protected database on the hospital’s server |

The spreadsheet, a good starting tool
A spreadsheet is free, flexible and familiar to everyone. For a small number of patients and a single person maintaining it, it is genuinely useful.
Difficulties arise with volume and teamwork: several hundred approvals, three modalities, reminders shared between admin staff and technologists.
When a spreadsheet is enough
If your centre follows a few dozen patients, a single person maintains the file and the data stays on a secure network share, a well-designed spreadsheet may be enough.
Why centres choose PneumoTrack
No more expiry dates going unnoticed
Each approval’s status updates without anyone stepping in. The “To remind” tab tells you who to call this week.
Identical calculations for everyone
Compliance, authorised duration, new approval dates: the same rule for every patient, whoever carries out the consultation.
Protected health data
Hashed passwords, automatic locking, a database on the hospital’s server: a patient file no longer circulates as an email attachment.
What PneumoTrack does not do yet

Frequently asked questions
Can we bring over our current Excel file?
Automatic import does not exist yet. For a pilot centre, we look at your file together and organise the data migration.
Does the team need training?
The interface uses the vocabulary of the agreements. A demo and an onboarding session are usually enough to get started.
